Introduction

In order to get you up and running on iSpaniel with the minimum of fuss, there are certain things that you need to do as a customer in preparation for the installation and use of the solution.  A checklist has been provided at the bottom of this document, so you can ensure that you have everything you need.

Before Go Live

Accounting Package Details

Although we don’t mandate a certain accounting package, it is useful to know which one you use so that we can advise and assist you to get your customer information extracted and imported into iSpaniel.

Customer Export from Accounts System

To get your customer information into iSpaniel quickly, we strongly advise that you provide us with an export of your customer list in CSV format.  The following data is required in the following format to allow iSpaniel to import it, and mandatory fields are shown in bold:


UniqueID | CustomerName | Telephone | email | Address1 | Address2 | City | PostCode | Country


Instructions for exporting this data from Sage can be found in the Obtaining Customer Details from Sage 50 Accounts article.  The same principle can be applied to other accounting software.  


Please note 

  • The information in each field must valid to prevent issues with importing the data into iSpaniel.  For example, the email address must be a valid email format, and the telephone can only contain numeric characters or ‘+’.
  • The UniqueID should be the unique customer reference from your accounting or CRM system.  This can be used to automatically lookup the customer in the iSpaniel app using a QR Code, if your accounting or CRM system supports the printing of QR codes on delivery notes or invoices.

Mobile Phones

iSpaniel uses Android mobile phones with NFC technology to track your assets.  All phones will need to be supplied by the customer, connected to a suitable network and also be available to use 3G, 4G or WIFI in all locations where iSpaniel is to be used for the following purposes:

  • Registering (Programming) assets

  • Filling assets with product

  • Delivering and collecting assets

  • Checking asset status

Mobile phone specification

  • Android platform phone running with version 5.0 (Lollipop)  or above

  • Touchscreen

  • NFC capability

  • 3 Mega Pixel camera or above

  • GPS (location services)


Asset, Product and User Details 

To get you up and running we can set up some of the information in the system for you such as users, products and asset types; you can add more at any time.  

To do this we need you to provide some details in the forms at the end of this document, and some details are below to explain the information required in these forms:

Users

Please provide details of the users who will be performing the different roles in iSpaniel:

  • Administration

  • Programming

  • Filling 

  • Delivery

At a minimum, we will need the following information for each user:

  • Name

  • Email address

  • iSpaniel Role (see above)

Asset Types

Please provide details of the different types of assets that will be being tracked by iSpaniel.  You will need to provide the following information for each asset type:

  • Asset name, such as firkin or kilderkin.

  • Asset colour that will be used in the portal.  This can simply be a colour (blue, red, etc) or the specific HTML hex code used in your marketing materials.

  • Number of gallons held by the asset which will be used in reports.

Product Types

Please provide details of your products that the assets will be filled with.  You will need to provide the following information for each product type:

  • Product name

  • Product code which will be used in the dashboards

  • Product colour that will be used in the portal.  This can simply be a colour (blue, red, etc) or the specific HTML hex code used in your marketing materials.

Asset Tags

iSpaniel will ship the agreed number of asset tags, and installation kit, that need to be installed on containers by you prior to go live.  Alternatively, this will be done together with the iSpaniel team during the onsite training/go-live day, or they will be pre-installed if new assets were ordered through Crusader casks with the iSpaniel NFC tracking option.

During go live

On the day of go live, we will need you to have the following items ready:

  • iSpaniel Asset Tags

  • Mobile phones (Connected to a suitable network provider and WiFi)

  • Computer with an internet connection

  • Chrome or Firefox web browser

  • WiFi network
